When you contact us
If you choose to email us, we receive the details you include, such as your name, email address and project enquiry. We use them to respond, discuss your requirements and keep appropriate business correspondence. We retain correspondence for as long as needed for those purposes and any applicable record-keeping obligations. You can contact us to ask about your information.
System-builder enquiries
When you submit a build, we collect your name, email address, organisation, optional telephone number and the access-point requirements and notes in your build. We save these in Digilec’s restricted project-review inbox, use them to respond to your enquiry and discuss suitable solutions, and generate a PDF for you to download. Please do not include access codes, passwords or personal information about building occupants.
For business enquiries, our lawful basis is our legitimate interest in responding to prospective and existing customers, planning suitable services and managing those enquiries. Where you personally ask us to take steps towards a contract with you, we also process information necessary for those steps. Submitting a build does not subscribe you to a marketing list.
Builder records are available for up to 12 months from submission and then removed during routine inbox use or submission processing. We may keep separate correspondence or project records for longer where an enquiry proceeds, where needed to deliver services or meet record-keeping obligations. You can ask us to delete an enquiry earlier. We limit information collected to what is needed to handle your request.
To alert our team when a build is submitted, we send your name, email address, organisation and submission reference to our Digilec business mailbox using one.com’s email service. The alert links to our restricted project-review inbox; your build details remain in that inbox and are not attached to the email.
Submitted builds are stored using the website’s hosting database, provided through OpenAI’s ChatGPT Sites and its Cloudflare infrastructure. Approved Digilec staff can access them after signing in. ChatGPT Sites does not currently offer a choice of data-residency location, and hosting providers may process information outside the UK. Processing is governed by the hosting terms and data-processing arrangements applicable to our account. For more about the hosting service, see OpenAI’s information about Sites data protection.
Website operation
This website is hosted through ChatGPT Sites, operated by OpenAI. The hosting service may process technical information needed to deliver and secure the website, such as IP addresses and request details. Sites also provides basic traffic statistics, including visitor and page-view counts. The page loads its typefaces through Google Fonts, so your browser may contact Google when displaying it.
Cookies and similar technologies
Digilec has not added advertising trackers or optional analytics scripts to this website. Its page code does not set cookies or save preferences in your browser. The hosting service may use technologies necessary to operate and protect the site. If we introduce optional cookies or similar tracking in future, we will update this page and provide the choices required before using them.
Your choices
You can contact us at info@digilecsecurity.co.uk if you want to ask how your enquiry information is used, request a copy, correction or deletion, object to or ask us to restrict processing, request portability where applicable, or raise a concern. You can also contact the UK Information Commissioner’s Office about data protection concerns.
